Coaches:

We are using the Team Manager program for submitting entries.  You will find an attached file with this email that you will be using to upload the events.  If you do not understand how to use the program then follow the instructions below. Please be advised that the all entries must be submitted to mcsmith@access.k12.wv.us by March 25th at 9:00 P.M..  Once I have received your entries I will be sending you an email back containing your entry list.  If you have any changes that need to be made please submit them back to me by 10:00 P.M. on March 26th.  Please be advised, I will only be allowing scratches to be made on the day of the meet.

Download TM Lite from this website by clicking on the following link http://www.bridgeporttrack.com/formcontrol/TM%20LITE.exe.  Unzip the file that you download.  Open the folder and click on SETUP.  Then follow all instructions given.

 

 
Step 2. Importing The Meet Events

 

From the T & F TEAM MANAGER Main Menu Bar, click on File then Import then Meet Events.  TFWin-TM will first ask you to select the Drive and File Name of the file you wish to Import.  The meet setup file is attached to this email make sure you, then download the file to your desktop and select Desktop from the Windows Open dialog box.  TFWin-TM will select all the files with the following file extensions - EV1 and ZIP.   Pick the one you wish to import and click on OK (for example this meet you will download the file tfmm2013-03-27-MeetEvents-Wesleyan Middle School Track Meet-001 .)

 

 

 

If you selected a ZIP file, TFWin-TM will unzip that file into a temporary directory named ZipTemp and then ask you to choose from the list of files that were extracted.

 

 

 

After this file is imported, go to the Meet Browser and you will see that the new meet has been added along with all of the events for that meet.

 

 
Step 3. Adding Your Team

 

Click on Teams from the TFWin-TM Main Menu Bar and then click on Add from the Team Browser or click on the Add New Team icon.

 

 

 

Enter the basic Team information: Team Code and full Team Name.  Enter a unique Team Code that may consist of up to 5 alphanumeric characters.  For meets this year we are encouraging everyone to use the following format:
TEAM CODE  -  Use your WVSSAC numeric code
TEAM NAME  -  Use your full School Name
"SHORT NAME"  -  Use shortened School Name
ALT ABBR  -  Use Mascot or other Shortened Name
      
      
For Example     
TEAM CODE  -  0009
TEAM NAME  -  Bridgeport High School
"SHORT NAME"  -  Bridgeport
ALT ABBR     BPT or Indians
       
       

 

 The use of the TEAM CODE matching your WVSSAC School ID number will assist the Regional Directors and other Invitational Directors (ex Gazette Relays) to have consistent information for all schools.  A list of these codes can be found by clicking on the following link  http://www.bridgeporttrack.com/formcontrol/Schoolcodes.htm.

 

 

 

 Please also declare your Team Type - "SCHOOL". 

 

 
 
Step 4. Adding Your Athletes

 

Click on Athletes from the Main Menu Bar and then click on Add from the Athlete Browser or click on the Add New Athlete icon.

 

 

 

You need to provide the following information about the athlete: name, gender, team, and school year.

 

 

 

Click on the OK button to save the information that you have entered about this athlete. Repeat this process to add all the members of your team. Click on the Cancel button when you are finished.
 
Step 5. Adding Your Entries

 

Click on Meets from the Main Menu Bar and then Click on Entries from the Main Menu Bar and choose Entry By Event.  Next enter the Team for which these entries apply.

 

 
Individual Events

 

Pick an event and TFWin-TM will list all of the eligible athletes for that event.  You can enter an event number, use the event scroll list, click on the arrow keys to go to the Previous or Next event, or press F4 for Previous event or F5 for the Next event.

 

 

 

For example, pick a Men's 800 meter Run, and TFWin-TM will list all of the men in your Database with their best mark in that event.  Then highlight the athlete you want to enter with one mouse click!  Then enter a Custom Entry mark for their best time, distance or height in that event. 

 

*For the field events enter distances and heights in the following format:   feet - inches.
For example, a long jumper whose best jump is 18’ 7 ½” would be entered as 18-7.5 or a pole vaulter with the best height of 12’ 6” would be 12-6 .

 

 
Relay Events

 

Pick a Relay event and TFWin-TM will list all of the athletes who are eligible to compete in that relay event. 

 

 

 

Enter a Custom Entry mark for your relays best time. 

 

 

 

You may pick from 4 to 8 athletes (4 primary and 4 alternate) from the list of eligible athletes for your Relay.  You can click and drag them over to Relay positions 1-8 or double click on the name, and TFWin-TM will automatically move them for you. 

 

 
Step 6.  Exporting Your Meet Entries

 

From the T & F TEAM MANAGER Main Menu Bar, click on File then Export then Meet Entries.

 

*When you e-mail them, specify a directory on your hard drive ( one you can find later ) as the Export Drive/Directory. 

 

Now select the meet for which you want to export entries.  You should check the option to Include Relays with your Entry.

 

When you click OK, TFWin-TM will create one zip file has the following naming convention:

 

 

 

TTTTTTT-Entriesxxx.ZIP

 

 

 

where "TTTTTTT" is the Team Abbreviation and "xxx" is a sequential number beginning with "001".  For example, if the Meet Entries are for the Team "BPT", the exported meet entry file name would be

 

 

 

BPT-Entries001.ZIP

 

 

 

This zipped file contains a meet entry file - a TCL file.

 

 
Check What You Have Exported

 

After you have built your meet entry export file, click on Reports and then Export/Import File Report and follow the menu prompts to review EXACTLY what information you exported to the file.  This is a great way to check and verify the meet entries you are sending to the meet host.  This report should match the standard Meet Entry Report that you have built, but it's a good idea to check it.

 

 

 

Step 7.  Submitting Your Meet Entries

 

Choose one of the following methods to get your entries to the meet director of the meet you are entering.

 

 

E-mail Entries

 

If you would like to e-mail these entries to the meet host, just use your standard e-mail software and attach the ZIP file (saved on your hard drive where you could find it from before) to an email and send it before the entry deadline.
