Dear Coach:

This is your information packet on the 2010 Doddridge Host Harrison County Invitational Track Meet to be held on Saturday, April 3, 2010 at Cline Stansberry Stadium in West Union, WV.

Time: Field events will begin at 11:00am. We hope to start running events around 11:30am. We will follow the format for a two-session meet with a 30-minute break between the 400m dash and the 4 x 800m relay.

Awards: Trophies will be given to the top 2 teams and to the top individual in both the boys’ and girls’ divisions. Also, winners of each individual event will receive medals. Ribbons will be awarded to relay placers 1 – 6 and to placers 2 – 6 in individual events.

Entry Fee: $40 per team. Make checks payable to DCHS Athletics. Please mail it promptly. ($70 total for boys and girls. Only $60 if you use the Team Manager Lite program to e-mail us your entries!)

Entry Deadline: Saturday, March 27, 2010. (This is pushing it a bit, so please send them promptly by one of the methods described below.) If you haven’t had a meet yet, please use reasonable estimates. (Not last year’s PR’s, but what is likely now.) If you use the Team Manager method as described below, your deadline will be extended to Tuesday, March 30.

Entries: A team may enter up to 5 athletes in each field event, up to 4 in each running event 400m or shorter, and as many as they want in races that are 800m or longer. Note: Only 3 athletes per team may place in any individual event. You may also run extra relay teams, but only one relay team per school can place.

Scratches: Please FAX your scratches and replacements by 6:00pm on Friday, April 2. (775-655-5335). Last minute scratches and replacements will also be accepted until 10:30am at the meet. However, please make every effort to get this information to us on Friday evening.

Miscellaneous: The concession stand will be open. Starting blocks will be provided. The longest spikes allowed on our track are ¼ inch. The following field events will be contested first: Girls shot put, pole vault, & long jump and Boys discus & high jump. Participants in the throws and long jump will get 3 attempts in the trials with the top 7 advancing to the finals.

There are two ways to get your entries to us:

1) You could download the event file for the Doddridge Host Harrison County Meet which will be posted on www.runwv.com. To do this you will need the Hy-Tek Team Manager or Team Manager Lite software. If you do not have this, it can be found and downloaded from www.bridgeporttrack.com. You then need to download the Doddridge Host Harrison County Meet file and import it into the Team Manager or Team Manager Lite program that you have already downloaded. Then you do your entries, export the meet entries, and e-mail your entry file to runwv@runwv.com. This is the preferred method. It is very accurate, efficient and saves time, as the entries do not have to be typed into our computer. This is good for you as your entries will be as accurate as you make them. They go straight from you to our computer. Also, you can use the Team Manager Lite program for later meets, including the regional, with great ease and efficiency. It’s good for us as your entry can be put into the Hy-Tek program in a matter of seconds using this method!

2) You could fax your completed entry form to Josh Weekley (RunWV) at 775-655-5335. Please use the correct type of entry form which has the athletes’ names at the left and the events they will be participating in on the right!
