Frankfort Invite Update due to Covid Measures
Hello Coaches,
There are a lot of
changes made to our invitational in order to ensure a safe environment and yet
still have the opportunity for many runners to compete in a race. We fully understand if a school decides to
not attend due to these changes.
Limited
Schools
With few remaining races available, many schools are
contacting us to join our invitational. We must limit our invitational to 30
schools. First schools given the option will
be the A-AA schools from region 1. There
are 20 schools in this region. Slots
that remain will be available to schools that communicate their interest. Below is the current list of schools I have
received notification of interest in attending.

Change
in Cost
This race will be a bib chipped race. Because of this additional cost, we must
raise the price slightly. The cost still
remains $25 for a varsity team or $50 for both boys and girls varsity
teams. This will include up to 10 JV
runners. Any JV runners over the 10 will
cost the school $5 for each additional runner.
Example: If School A has 20 girls signed up and 14 boys signed up, the
school would owe $50 + (3extra girls at $5each) = $65. This is to help cover the costs of the
chipped bibs.
Entries
Entries need
to be submitted on RaceTimeEntry.com. This
is a change from athletic.net.
RaceTimeEntry is also the system required for coaches to use for the
regional meet.
Results
Results will
be real time posted to TriStateRacer.com.
Results will later be posted to both athletic.net and runwv. I will make sure to forward a copy of results
to each coach via email.
Change
in Schedule
Due to the need for waves and with soccer matches rescheduled
for 2pm on the same day, we had to make changes to the original race schedule. Start times for events will not change if
fewer waves are needed.

No
award ceremony is permitted. Awards will
be sent to the participating schools.
Health
Requirements
ALL
Coaches must sign and provide the wellness check document on the last
page. The wellness document states that
the coach checked all their athletes prior to departing from their home school
to the meet with temperature checks and ensuring all their athletes are in
proper physical well-being. Coaches
should turn in the document upon arrival at which time they will also receive
their coaches packet. There will NOT be
a coaches meeting. If any coach has a
concern, they can present their concern to Coach Phillips or Coach Snoberger.
Coaches
should encourage all athletes to be dressed for the meet prior to
arriving. This is to ensure that the
bathroom facilities have limited usage.
Hand-sanitizer will be located outside the bathroom facilities. Please encourage your athletes to use prior
to entering and also upon exiting the bathroom facilities.
Coaches
should remind and encourage all athletes and spectators to wear face masks
whenever they are not competing. Coaches
and athletes will be required to have a face mask while in there wave group
until they have reached the start-line area.
Coaches
should remind athletes to remain with their school and not to intermingle with
athletes from other schools.
SORRY L due to the
current health concerns, there will not be any hospitality room for coaches,
nor a concession stand available.
Arrival, Race, and
Departure Procedures
Teams
will be dropped off in front of the stadium.
Teams should enter the stadium and set up their tent in the visitor side
bleachers (left side of stadium) or on the visitor sideline of the football
field. PLEASE REMAIN off the football
playing field. Plenty of space is
provided, so teams should ensure that they remain distant from other schools. After dropping off athletes, buses should
turn left at the intersection and park in the first stone parking lot on the
left. See Map on additional page for
more details.
The invitational will race in
waves. Only 5 teams will start at a time
and be placed into waves. Teams will be
randomly drawn to be assigned to their wave.
ALL WAVE Groups should be ready at the START TIME of their event. Wave 1 will be the first group to begin and
will report to the start-line. Wave 2
will report to the gate that leads out of the stadium toward the
start-line. Wave 3 will report to the
TRACK Start-line. Wave 4 will report to
the Track 100m Line. Wave 5 will report
to the Track 200m Line. Wave 6 will
report on the other-side of the track-surface fence from Wave 5. As Waves are started the next wave will move
up to the next position. Such as Wave 2
would then move to the start-line and Wave 3 would then move into the location
of Wave 2 (the gate that lead out of the stadium). The athletes can stretch and perform striders
in their wave area. The number of waves
assigned will be limited to the number of schools and athletes
participating. In the JV race if more
Waves are needed, more will be assigned.
After
Athletes have finished the race, they should continue through the finish chute
and proceed to their tents from the front of the stadium. Teams should prepare to leave upon the
completion of their athletes.
Course
For
those that have attended our course in the past, we needed to change the start
of the course in order to avoid conflict with starters and finishers due to the
waves of groups. We do not plan on this
being a permanent feature of our course.
We still have about 800m of the course where a finishing athlete may
come upon a beginning athlete. This is a
common experience in road races. Please
remind your athletes to always stay to the right on the course when running.
Spectators
Please
encourage your spectators to keep proper social distancing, wear masks, and
follow all CDC guidelines. It is very
easy to stay away from others at a cross country meet. Spectators will not be permitted into the
stadium. Parking for spectators is
available at the parking lot by the middle school. This lot is located, by taking a right after
the front of the stadium. Follow the
road until it ends at the middle school.
Also vehicles can park in the lot located below the fieldhouse. Once again you make a right after the front
of the stadium. Lot will be on the
left. This lot is only accessible before
the races begin at 9:30am and departure after the conclusion of the final
race. Spectators should not park in this lot if they plan to leave prior to the
final race.
Remaining
the Same
First,
T-Shirts will be sold. Shirts will cost
$20. Please pre-order. Pre-ordered shirts will be given to coaches
upon arrival. Shirt design will be sent
to all participating schools closer to the meet day. Finally, there is no fee for spectators and
as always we will have an Ambulance located on site during the meet.

checked my athletes. No athlete that
boarded the bus/ departed for the Frankfort Invite had an elevated temperature
or showed signs of having an illness that could endanger all athletes at the
meet. I understand the significance of
following CDC regulations with wearing masks and social distancing.
