Dear Coaches,

Due to the guidelines for the Covid 19 virus pandemic, team entries were limited and coaches were sent emails to confirm their entry to our meet. The course is located on the campus of Cabell Midland High School, which is the site of the West Virginia State Cross Country Championship.

 

At Cabell Midland, our main goal is to make this a great experience for all teams and we will do everything possible to achieve that goal despite the challenges of the Covid 19 virus.

Entry Fee:      Varsity - $75.00 per Girls or Boys team ($110 for both) Maximum of 7 runners

                        $20.00 per individual runners in Varsity race

Entries:           All entries must be submitted on a Microsoft excel sheet in the following format. Use 4 columns. First name, Last name, Grade level, & Gender. Email to mecavender62@suddenlink.net & coachparsons@yahoo.com

Packet pick up:          Red Building outside track fence

 

T-shirts:                     Online orders only. Go to the following website http://www.htswr.com/ click on Merch Stores tab at very top of page then scroll down until you see the pic of XC Festival t-shirt and click on it. Place your order and you have the option of either store pick up or mailed to your home. This eliminates gathering of crowds and the exchange of money in a face to face situation.  Shirts will be online next week.

 

Tent City:                   Tent City will NOT be located in one area. Race Sections will be assigned areas that are spread out on campus. Make sure you do NOT locate your tent near another team.

 

Admission:                 $5.00 per person. Coaches will be selling their own tickets this year. Go to your Athletic Director and request the desired tickets you need. Take a picture of the ticket and email it to me along with a list of your athletes and the household family members beside athlete’s name who bought tickets and are attending the meet. There will be two entry gates. Spectators will need to give their name, school team name, and the runner they are there to watch.  The gate workers will check to see that they are on the list that was provided ahead of time, take each spectator’s temperature, and direct them to drop their ticket in a bucket before being admitted in to the meet.

 

Coaches will bring a check for tickets sold and turn in when picking up their packet. Spectators will NOT be permitted in the meet without a ticket. Coaches must be responsible and help ensure that everybody is following the guidelines.  Do NOT sell anyone a ticket that should not legitimately be attending the meet. I trust that Cross Country coaches will take this seriously and realize how fortunate we are to have the opportunity to race.

 

Mask up:                    Everyone in attendance is required to wear a mask except the runners when they are competing during their Section races. Spectators & coaches who cheer and yell during a race risk spreading the virus to others, so a mask is a must. We consider the safety of the runners, coaches, spectators and staff involved in this meet to be a priority.  Event staff will be on hand to ensure that masks are worn properly, covering both the nose and mouth and that proper social distancing is being maintained.

 

Race Procedures:      Teams should report to starting line at least 15 minutes and no earlier than 20 minutes before the start of their race. Box assignments will be issued and will appear on your race packet. Teams are to stay in their box and do strides directly in front of their box. Avoid other teams during your warm-up. Boxes will be spread out and no team will be within 10-15 feet from another team.

 

                                    Finish line procedures will be as follows:

·       There will be NO finish line chute, pull tags or chips. Finishlynx timing with race numbers. Runners are to cross the line then immediately head back to their team camp.

·        Parents and coaches must stay outside the track fence this year. No cutting through in front of brick building. You must go around it to get from one side of the track to the other.

·       Parents may NOT wait outside the gate area to meet up with their child as they finish. They must meet with them away from the track area. We do NOT want runners having to go through crowds to get to their team camp. Also, there will be no water except for those needing medical attention in our medical area.

 

                                    After your warm down, please have safe travels back home. Teams should not wait around to watch other Section races so that we are able to limit crowd size and risks of exposure.

                                   

Coaches, please make sure your runners and their families are aware of all the safety protocols that will be in place ahead of time, before arriving to the meet. Avoiding conflicts will help us focus on the athletes, enjoy the competition and make this a positive experience for the runners.

 

These are strange and challenging times along with all the demands just to compete in a cross country meet. However, it’s worth it as along as our runners get the opportunity to compete. I appreciate your efforts in making our meet possible and wish you the best on September 5th and pray that Cabell Midland will get the opportunity to host the State Championship on October 31st.
